C-Desk Technology - Workforce Design Studio

Through expert consultancy, evidence‑based tools, and practical training, we support leaders in building shift systems that work for both the business and its people.

Business Health Check: A Clear, Evidence‑Based Review of Your Shift Operations
Business Health Check: A Clear, Evidence‑Based Review of Your Shift Operations
Our Business Health Check is a fast, focused, two‑week assessment designed for organisations that need clarity, direction, and a shift pattern that genuinely fits the way they operate. If your demand has changed — new products, new volumes, new processes, or a pattern that simply no longer works — this service gives you the insight you need to move forward with confidence.
During the assessment, we review your current shift pattern, analyse workload and staffing levels, and identify what’s working well and where the pressure points are. Using evidence‑based modelling and real‑world operational experience, we highlight the root causes of inefficiency, fatigue, fairness issues, and staffing risk.
At the end of the two weeks, you receive a detailed report with clear, practical recommendations and a fully developed annual shift pattern tailored to your operation. This gives you a stable, future‑ready foundation for long‑term planning, improved performance, and a more resilient workforce.

Shift Pattern Design
A well‑designed shift pattern is the foundation of a fair, reliable and efficient operation.   We help organisations create shift patterns that match their workload, support wellbeing, and run smoothly all year round, not just on paper.
What it is
Shift Pattern Design is a structured, evidence‑based process that turns your real workload into a rota that works. We analyse demand, shape the right shifts, calculate staffing levels and build a full‑year rota that includes holidays, training and seasonal variation. If you’d like to understand the method, see our How to Create a Shift Pattern guide.
Who it’s for
This service is ideal for organisations that:
  • run 24/7 or extended hours
  • struggle with fairness, fatigue or weekend balance
  • have unpredictable demand or seasonal peaks
  • need to reduce overtime or agency use
  • want a rota that supports wellbeing and retention
  • are planning a change in staffing, workload or shift length
What problems it solves
A well‑designed shift pattern can fix:
  • chronic understaffing
  • unfair or uneven weekends
  • excessive overtime
  • fatigue and burnout
  • holiday chaos
  • mismatched skills on shifts
  • firefighting and last‑minute cover

Why it works
We use mathematical modelling, operational research and real‑world experience to design patterns that are fair, predictable and sustainable. The result is a rota that supports your people and your operation, every day of the year.
VisualrotaX: Design and Manage Your Shift Pattern With Confidence
VisualrotaX is our unique, easy‑to‑use software for designing and managing shift patterns of any size or complexity.   It gives managers complete visibility of staffing levels, holidays, absences and hours, all in one place, so you can run a fair, reliable and efficient operation without spreadsheets or guesswork.
What VisualrotaX does
VisualrotaX lets you:
  • design shift patterns that match your workload
  • see instantly whether each day is correctly staffed
  • adjust your demand profile day‑by‑day
  • manage holidays and absences with confidence
  • track every person’s hours (work, holiday, sickness, training, overtime)
  • compare actual hours to contracted hours
  • ensure staff take their full holiday entitlement
  • spot problems before they become operational issues
It’s everything a shift manager needs in one simple tool.
Why it’s so powerful
At the top of the rota, VisualrotaX shows:
  • how many people are on each shift
  • how many people you need
  • whether you have the correct staffing levels
If staffing drops below requirement because of holidays or absence, the shift is highlighted in red. This means you can see at a glance:
  • whether a holiday request can be approved
  • whether you need cover
  • whether the shift pattern still matches the workload
No more guesswork. No more surprises. No more firefighting.
Perfect for new and experienced managers
Whether you’re running a small team or a large 24/7 operation, VisualrotaX gives you the clarity and control you need. It’s especially valuable if:
  • you’re new to managing a shift operation
  • you’re on a tight budget
  • you need a reliable system that prevents mistakes

Migration Planning: Moving Teams Smoothly From Old to New Shift Patterns
Introducing a new shift pattern is one thing; moving people into it smoothly is another. Our migration planning service manages the transition from the old rota to the new one, balancing operational requirements with the realities of people’s lives. We make sure the change is fair, transparent and carefully structured, so teams feel supported rather than disrupted.
We review existing patterns, planned holidays, caring responsibilities, weekend expectations, immovable appointments and any operational constraints that could affect the transition. By mapping these factors early, we prevent the common problems that cause stress, resistance and staffing gaps.
The result is a clean, confident launch of your new operation with: a clear migration plan, reconciled hours and holidays, and a step‑by‑step process that protects both business continuity and employee wellbeing.

FAQ: Our Services
Which is the best shift pattern?
There’s no single “best” pattern: it depends on your workload, staffing levels and operational goals. However, 12‑hour shift patterns are often more popular than 8‑hour patterns because people get longer, higher‑quality time off. Two patterns that are consistently well‑liked are:
  • 2‑3‑2 (Panama): works around the week, gives whole weekends off, and is easy to understand
  • 5‑5‑4: excellent weekend balance and predictable rotation
You can explore these and other options on our Five Shift Patterns page.
Can you help us reduce overtime and agency use?
Yes. This is one of the most common reasons organisations come to us. By matching your shift pattern to your real workload, we can significantly reduce unnecessary overtime, agency spend and last‑minute cover.
Do you work with small teams as well as large 24/7 operations?
Absolutely. We support everything from small teams of 3–10 people to large multi‑site operations with hundreds of staff. You can see examples of the organisations we’ve helped on our Clients page.
How long does it take to design a shift pattern?
For a new client, we can usually produce a workable draft shift pattern within 2–4 weeks, once we understand your staffing levels, terms and conditions, working ethos and operational goals. The detailed design phase itself normally takes around a week.

For existing clients, the process is far quicker because we already understand your organisation. In one extreme case, a new team needed a completely new shift pattern following a substantial pay increase — we designed the pattern in a single day and migrated the staff the next day. That speed is unusual, but it shows what’s possible when the groundwork is already in place.

If you want us to analyse your workload first, the timeline is longer. Collecting and analysing demand data can take several months, especially if the workload varies seasonally or if historical data is incomplete. This step is optional but extremely valuable if you want a pattern that matches your workload precisely.

It’s also important to distinguish design from implementation. Even with a finished pattern, most organisations need at least three months to move from the old rota to the new one, unless there is a compelling reason to accelerate. When staff are strongly in favour of the change, implementation can be much faster.
What are Banked Hours and how do they help?
Banked Hours is a simple, fair system where staff are paid in advance for hours they will work when the organisation needs them. In practice, around 90% of their hours are scheduled directly into the shift pattern, and the remaining 10% are held in reserve for busy periods, short‑notice absences or unexpected demand.

When used correctly, Banked Hours has huge benefits for both the operation and the shift workers. It gives managers the flexibility they need without relying on overtime, and it gives staff more control over their work–life balance. In many organisations, a well‑run Banked Hours scheme even results in staff receiving extra paid time off as a reward for working when needed.

Because Banked Hours reduces fatigue, improves fairness and prevents last‑minute staffing crises, it is one of the most effective tools for creating a stable, predictable and people‑friendly shift operation.
How do you ensure fairness in a shift pattern?
Fairness is built into the design process. We look at weekend balance, night‑shift distribution, holiday access, fatigue risk, skills mix and long‑term sustainability. A fair pattern is predictable, transparent and works for everyone, not just the rota. Our How to Create a Shift Pattern guide explains how fairness is designed in from the start.
Can you include holidays and absence in the shift pattern?
Yes. We design Holidays‑Included shift patterns that ensure you have the right staffing levels even when people are on leave. Our software, VisualrotaX, also highlights days where staffing drops below requirement so you can approve or decline holiday requests confidently.
Do you offer online or in‑person training?
Both. We run online courses (including our Shift Scheduling Course with VisualrotaX) and deliver tailored in‑person workshops for teams who want hands‑on support.
What do we need to provide before you start designing our shift pattern?
We’ll ask for your workload profile, staffing levels, skills mix, holiday allowance and any operational constraints. We also need the staff's Terms of employment to ensure we can meet them. If you’re not sure where to start, we guide you through every step.
Can you review our existing shift pattern?
Yes. Our Business Health Check is designed to assess your current pattern, identify risks, highlight inefficiencies and recommend improvements.
Do you support organisations outside the UK?
Yes. We work with clients globally. You can see examples of our international work on our Clients page.
